We operate the property portfolio management and wealth intelligence platform available at mypropertyorganiser.co.uk and mypropertyorganiser.com.

Account and identity data
- Full name, email address, phone number
- Password (stored in encrypted form only)
- Profile information such as investor type, portfolio size and professional role
Portfolio and financial data
- Property details: addresses, purchase prices, mortgage details, rental income
- Financial records: income, expenses, yield calculations, equity estimates
- Documents you upload: tenancy agreements, safety certificates, mortgage statements, title deeds
Open Banking data
- Bank account transaction data where you choose to connect accounts via our Open Banking provider
- Income and expense categorisation derived from transaction data
Tax and compliance data
- Making Tax Digital submission data prepared and submitted to HMRC on your behalf (where you authorise us to do so)
- Income and expense categorisation to HMRC standards
Usage and technical data
- IP address, browser type, device information
- Pages visited, features used, session duration and click data
- Log data and error reports
Communications data
- Messages you send us via email, contact forms or in-platform support
- Booking confirmations and meeting notes where you book a call with our team
3. How We Use Your Data
We use your data for the following purposes:
- Providing the platform: Creating and managing your account, enabling portfolio tracking, document storage and professional network access.
- MTD compliance: Automating income and expense categorisation and submitting quarterly updates directly to HMRC on your behalf where you have authorised this.
- Open Banking: Processing bank transaction data to automate your financial records and reduce manual data entry.
- Communications: Responding to your enquiries, sending service notifications, deadline reminders and product updates.
- Improvement: Analysing usage patterns to improve platform features and performance.
- Marketing: Sending you information about our products and relevant property news, only with your consent, and you can withdraw at any time.
- Legal and compliance: Fulfilling our obligations under applicable laws, including tax and financial services regulations.
4. Legal Basis for Processing
- Contract performance: Processing necessary to provide the service you have signed up for.
- Legal obligation: Processing required to comply with HMRC MTD requirements and other applicable laws.
- Legitimate interests: Platform improvement, fraud prevention, security, and business development where these do not override your rights.
- Consent: Marketing communications. You can withdraw consent at any time via your account settings or by emailing us.
5. Who We Share Your Data With
We do not sell your personal data. We share data only with trusted service providers necessary to operate the platform:
- HMRC, for Making Tax Digital submissions, only where you have explicitly authorised this
- Open Banking providers to connect your bank accounts securely under FCA-regulated open banking frameworks
- Cloud infrastructure providers, including AWS and/or Google Cloud for secure data storage and processing
- HubSpot, for CRM, booking management and customer communication
- Analytics providers, for anonymised platform usage analysis
All third-party processors are subject to data processing agreements and GDPR-compliant practices. We require all processors to maintain appropriate security standards.
6. Data Retention
We retain your personal data for as long as your account is active. After account closure:
- Financial records are retained for 7 years to comply with HMRC requirements
- Other personal data is deleted within 90 days of account closure unless required by law
- You may request deletion of non-statutory data at any time by contacting us

You have the following rights in relation to your personal data:
- Right of access: Request a copy of the personal data we hold about you
- Right to rectification: Request correction of inaccurate or incomplete data
